Build the update in three parts: my point → my reason → my proposed next step. Pause briefly between them and keep enough breath for the final words.

Polished delivery cannot rescue a hidden point. Once the structure is visible, pace and emphasis help the listener understand where the message is going.

Point–reason–next step

Keep each section to one sentence.

  1. Point: “We should not move the release forward by one week.”
  2. Reason: “It would cut the testing window in half.”
  3. Next step: “Let’s reduce scope today and review the date tomorrow.”
  4. Use the same structure for a real 45-second update from your work.

Playback check: Could a first-time listener repeat the decision and next step in one sentence?

Do

  • Lead with the point
  • Pause between the three sections
  • End with a concrete action verb

Avoid

  • Forcing a deeper voice
  • Adding every detail before the point
  • Compressing the final words
